Apple Mail Setup

Install your Signkit signature in Apple Mail on macOS and iOS Mail app.

This guide covers installing your Signkit signature in Apple Mail on macOS and the Mail app on iOS devices.

Campaign banners update automatically! Once your signature is installed, any changes to campaign banners in Signkit will appear in Apple Mail within 5 minutes - no reinstallation required.

Apple Mail on macOS

Apple Mail has good HTML signature support, but requires a specific setup process.

Method 1: Copy & Paste (Simple)

This method works for basic signatures.

Step 1: Copy Your Signature

  1. Log in to Signkit
  2. Go to Signatures in the sidebar
  3. Click on your signature
  4. Click Copy HTML

Step 2: Open Mail Preferences

  1. Open Apple Mail
  2. Click Mail in the menu bar
  3. Click Settings (or Preferences on older macOS)
  4. Click the Signatures tab

Step 3: Create New Signature

  1. Select your email account in the left column
  2. Click the + button to create a new signature
  3. Give it a name (e.g., "Work Signature")

Step 4: Paste Your Signature

  1. Click in the signature preview area (right side)
  2. Paste your signature (Cmd + V)

Apple Mail may simplify your signature when pasting. If formatting is lost, use Method 2.

Step 5: Assign to Account

  1. Drag the signature from the middle column to your email account
  2. Or use the dropdown menus below to set:
  • Choose Signature: Select your signature
  • Place signature above quoted text: Check for replies

For complex HTML signatures with full formatting:

Step 1: Download Signature

  1. In Signkit, go to your signature
  2. Click Copy HTML
  3. Open TextEdit on your Mac
  4. Paste the HTML
  5. Save as a .html file

Step 2: Create Placeholder in Mail

  1. Open Mail > Settings > Signatures
  2. Create a new signature with any placeholder text
  3. Close Settings
  4. Quit Mail completely

Step 3: Find Signature Files

  1. Open Finder
  2. Press Cmd + Shift + G
  3. Paste: ~/Library/Mail/V9/MailData/Signatures/
  • Note: The V9 folder may vary (V8, V10, etc.) depending on your macOS version
  1. Press Enter

Step 4: Identify Your Signature File

Look for .mailsignature files. The most recently modified one is likely your placeholder.

Step 5: Edit the Signature File

  1. Right-click the .mailsignature file
  2. Open With > TextEdit
  3. You'll see something like:
   Content-Transfer-Encoding: 7bit
   Content-Type: text/html;
       charset=us-ascii
   Message-Id: <...>
   Mime-Version: 1.0

   <body>Your placeholder text</body>
  1. Replace everything after the Mime-Version: 1.0 line with your HTML
  2. Save the file

Step 6: Lock the File

To prevent Mail from overwriting your changes:

  1. Right-click the file
  2. Click Get Info
  3. Check Locked at the bottom

Step 7: Restart Mail

Open Mail. Your signature should now display with full formatting.

iOS Mail App

The iOS Mail app has limited signature support.

Setting Up on iPhone/iPad

  1. Open Settings
  2. Scroll down and tap Mail
  3. Tap Signature
  4. Choose:
  • All Accounts: Same signature for all
  • Per Account: Different signatures for each

Paste Your Signature

  1. In Signkit (on your phone's browser), copy your signature
  2. Paste into the signature field

iOS Mail has very limited HTML support. Complex signatures may not render correctly. Consider a simplified mobile version.

Mobile Signature Tips

For iOS, keep signatures simple:

  • Plain text works best
  • Basic formatting may work (bold, italic)
  • Avoid complex layouts
  • Images may not display reliably

Alternative: Create Mobile-Specific Signature

Consider a minimal signature for mobile:

Name | Title
Company Name
phone | email

This ensures readability on all devices.

Troubleshooting

Signature Shows HTML Code

If you see raw HTML instead of formatted signature:

  1. Ensure you're using the file method (Method 2)
  2. Check the HTML is valid
  3. Verify the file is saved as .mailsignature

Images Not Displaying

Apple Mail may block remote images:

  1. Open Mail > Settings > Privacy
  2. Uncheck "Protect Mail Activity" (affects tracking)
  3. Or ensure images are HTTPS URLs

For recipients:

  • Images should load automatically in most cases
  • Some privacy settings may block images

Signature Reverts to Old Version

If Mail keeps resetting your signature:

  1. Make sure you locked the signature file
  2. Quit Mail before editing the file
  3. Check if iCloud is syncing signatures (may cause conflicts)

Formatting Lost After Paste

Apple Mail simplifies pasted content:

  1. Use the file method (Method 2) instead
  2. Or accept simplified formatting from copy-paste

Signature Not Showing in Replies

  1. Go to Mail > Settings > Signatures
  2. Check "Place signature above quoted text"
  3. Ensure signature is assigned to the account

Multiple Signatures Appear

  1. Check you don't have duplicate signatures set
  2. Review per-account signature settings
  3. Remove unneeded signatures

macOS Version Differences

macOS Ventura and Later

  • Settings is called "Settings" (not Preferences)
  • Signature files may be in V9 or V10 folder
  • Privacy settings may affect image loading

macOS Monterey and Earlier

  • Settings is called "Preferences"
  • Signature files typically in V8 or V9 folder
  • Generally fewer privacy restrictions

iCloud Signature Sync

If you use iCloud:

  • Signatures may sync across devices
  • Changes on one device appear on others
  • Can cause conflicts if editing signature files manually

Disable Signature Sync

If sync causes issues:

  1. Go to System Settings > Apple ID > iCloud
  2. Click iCloud Drive
  3. Uncheck Mail from app sync

Best Practices

Test Thoroughly

  1. Send test emails from your Mac
  2. Check appearance on iPhone
  3. View in Gmail and Outlook
  4. Test with images both enabled and disabled

Keep a Backup

Before editing signature files:

  1. Copy the original .mailsignature file
  2. Save to a safe location
  3. You can restore if needed

Use Simple Designs

For best Apple Mail compatibility:

  • Stick to basic HTML tables
  • Use inline CSS only
  • Avoid complex nested layouts
  • Test in Mail before deploying
