This guide walks you through installing your Signkit signature in Gmail. The process works for both personal Gmail accounts and Google Workspace (formerly G Suite) users.
Campaign banners update automatically! Once your signature is installed, any changes to campaign banners in Signkit will appear in Gmail within 5 minutes - no reinstallation required.
Prerequisites
Before you begin, ensure you have:
- Your Signkit signature created and ready
- Access to your Gmail account
- Desktop browser (recommended for setup)
Method 1: Copy & Paste (Recommended)
This is the simplest method and works for all Gmail users.
Step 1: Copy Your Signature
- Log in to Signkit
- Go to Signatures in the sidebar
- Click on a signature to open it
- Click Copy HTML in the preview panel
A confirmation will appear when the signature is copied to your clipboard.
Step 2: Open Gmail Settings
- Open Gmail
- Click the gear icon (top right)
- Click See all settings
- Stay on the General tab
Step 3: Find Signature Settings
Scroll down to the Signature section. You'll see:
- A dropdown to select which signature to edit
- Options to create new signatures
- The signature editor area
Step 4: Create or Edit Signature
For a new signature:
- Click Create new
- Enter a name (e.g., "Work Signature")
- Click Create
For an existing signature:
Select it from the dropdown list.
Step 5: Paste Your Signature
- Click inside the signature editor box
- Clear any existing content (Ctrl/Cmd + A, then Delete)
- Paste your signature (Ctrl/Cmd + V)
Your Signkit signature should appear with all formatting intact.
Step 6: Configure Defaults
Below the editor, set your signature defaults:
- For new emails use: Select your signature
- On reply/forward use: Select your signature (or "No signature")
Step 7: Save Changes
Scroll to the bottom and click Save Changes.
Step 8: Test Your Signature
- Click Compose to start a new email
- Your signature should appear at the bottom
- Send a test email to yourself to verify appearance
Method 2: Gmail Mobile App
For iOS and Android Gmail apps:
Mobile Gmail has limited signature support. Complex HTML signatures may not render correctly.
iOS
- Open the Gmail app
- Tap the menu icon (☰)
- Tap Settings
- Select your account
- Tap Signature settings
- Toggle Mobile Signature on
- Paste your signature text
Android
- Open the Gmail app
- Tap the menu icon (☰)
- Tap Settings
- Select your account
- Tap Mobile Signature
- Enter or paste your signature
- Tap OK
Google Workspace Admin Deployment
If you're a Google Workspace administrator, you can deploy signatures organization-wide.
Using Email Routing Rules
- Go to Google Admin Console
- Navigate to Apps > Google Workspace > Gmail
- Click Compliance
- Under Content compliance, add a rule
- Configure to append signature HTML to outgoing messages

Troubleshooting
Images Not Displaying
Gmail may block images by default for recipients. Solutions:
- Ask recipients to click "Display images"
- Host images on a reputable CDN
- Ensure image URLs use HTTPS
Signature Not Appearing in Replies
Gmail doesn't automatically include signatures in replies/forwards unless configured:
- Go to Gmail Settings
- In Signature section, set "On reply/forward use" to your signature
- Save changes
Formatting Lost When Pasting
If formatting is lost:
- Clear the signature editor completely
- Try pasting with Ctrl/Cmd + Shift + V for plain paste
- If that doesn't work, paste normally (Ctrl/Cmd + V)
Gmail's editor sometimes strips formatting. If this happens, try using a different browser.
Signature Too Long
Gmail truncates very long signatures. Keep your signature:
- Under 10,000 characters
- Maximum 5-6 lines of text
- Images under 500KB each
Multiple Signatures
Gmail supports multiple signatures:
- Create each signature in Gmail settings
- Choose which to use when composing
- Or set different defaults for new vs. reply emails
Best Practices
Test Before Rolling Out
- Send test emails to colleagues
- Check on different devices (desktop, mobile)
- View in other email clients (Outlook, Apple Mail)
Use HTTPS for Images
Always host images over HTTPS to avoid security warnings and ensure they display.
Keep It Updated
Remember to update your Gmail signature when you:
- Change your Signkit signature
- Get a new phone number
- Change your title or role
